Remote work isn’t going anywhere. After the initial scramble of 2020, it’s settled into something more permanent—most people now expect at least some flexibility in where they work. That means teams need actual tools to stay synchronized, not just video calls and hope.

Here’s what actually works for distributed teams in 2025.

Communication

Slack

Slack has become the default for remote team chat, for better or worse. It works because it mimics office conversations—channels for projects, DMs for quick questions, and the ability to hop on a quick call when text isn’t cutting it.

The integrations are genuinely useful. You can pull in updates from Asana, reference Google Docs, start a Zoom—all without leaving Slack. The free version is decent for small teams, though you’ll hit message history limits. Paid plans start around $8.75 per user monthly. Most people rate it around 4.5 stars, and the main complaints are usually about notification overload rather than functionality.

Microsoft Teams

Teams makes sense if you’re already using Microsoft 365. The Outlook integration alone is worth it for teams living in calendar invites and email chains. Video calls support up to 1,000 people, which matters if you’re doing all-hands meetings.

The security features are solid—better than most competitors if you’re in healthcare or finance where compliance matters. Pricing starts at $12.50 per user monthly. It gets less love than Slack in user reviews (around 4.3 stars), mostly because the interface feels clunkier, but if you’re in the Microsoft ecosystem, it just works.

Project Management

Asana

Asana handles most of what remote teams need: task assignments, deadlines, progress tracking, and different ways to visualize work (lists, boards, timelines). It’s flexible enough to work for waterfall teams and agile shops alike.

The automation features are genuinely useful—you can set up rules that handle the boring stuff like moving tasks when something is marked complete. Free tier works for teams up to 15. Paid plans start at $10.99 per user. Users like the versatility but sometimes find it overwhelming when first adopting.

Trello

Trello’s visual board system works well for teams who think in stages rather than lists. Drag a card from “In Progress” to “Done” feels intuitive, and new users rarely need training.

The downside is that Trello stays simple, which means it can feel limiting as projects grow more complex. Over 100 integrations help bridge gaps. The free tier is generous—unlimited boards and cards. Paid plans start at $5 per user. People rate it around 4.4 stars and mostly praise the ease of use.

Monday.com

Monday.com tries to be a custom fit for different workflows, offering templates for everything from marketing campaigns to software sprints. The dashboards give you a quick visual pulse on what’s happening, which managers tend to like.

It has more setup overhead than Trello—you’re trading simplicity for customization. Pricing starts at $9 per user monthly. Reviews hover around 4.4 stars, with the main feedback being that it takes time to configure properly but then works well.

Document Collaboration

Notion

Notion has evolved past note-taking into something bigger—part wiki, part database, part project tracker. The block editor is intuitive once you get it, and teams use it for everything from meeting notes to documentation to actual project tracking.

The real-time collaboration works well, and having everything in one place reduces the “where was that document?” problem. Free personal tier available; team plans at $10 per member. Gets around 4.5 stars, with users appreciating the all-in-one approach but occasionally finding it slow with large databases.

Google Workspace

This is the baseline. Docs, Sheets, Slides, Drive—it’s all solid and works together. The real-time co-authoring is seamless, which matters more for remote teams than people realize. No learning curve because everyone already knows how to use it.

Pricing starts at $12 per user monthly. It’s not flashy, but it’s reliable, and that’s worth something when you’re trying to get work done.

Time Tracking

Toggl

Simple time tracking that integrates with Asana, Trello, and other tools. One click to start, one click to stop. Reports show where time actually goes, which is useful for billing clients or understanding where projects are dragging. Free tier available; paid plans start at $10 per user. Gets high marks (4.6 stars) for accuracy and simplicity.

Clockify

Clockify’s free tier is unusually generous—no user limits, no feature restrictions. That’s rare in this space. It’s browser-based, so no installation needed, which helps with adoption across distributed teams. Paid plans start at $4.99 per user for the basics, with more features at higher tiers. Rated around 4.5 stars, mostly praised for the free tier value.

Picking What Works

Don’t overthink the tool selection. Most of these platforms do the job adequately—the bigger issue is usually adoption. Pick something, get the whole team using it consistently, then optimize later.

What matters more than features:

  • Does your team actually want to use it? If people resist, no feature set will save you.
  • Does it play nice with what you’re already using? Too many disconnected tools create more problems than they solve.
  • Is there a workable free tier? Try before you buy, especially if you’re small.

A lot of teams end up with a combination: Slack for chat, Google Workspace for docs, Asana or Monday for task management, and something for time tracking if billing matters. That’s fine. There’s no single perfect stack—just stacks that fit your specific situation.

The tools have gotten better. But the real challenge hasn’t changed: getting a group of people in different locations to actually stay on the same page. That’s less about software and more about habits.
